Rental equipment tracking: who has what and when it comes back

In Termino, you rent items out from the till, on the sales screen: the cashier picks the items and the period and enters the customer's personal ID or passport number, and the branch's daily price sets the cost. “Active rentals” shows who has what, when it is due and what is overdue. Late returns get extra days counted automatically.

Why it goes wrong

When rentals are written in a notebook or in Excel, the trouble starts at the return: you can't find the record, nobody checked the return time, and late days are lost for nothing. On busy days the notebook doesn't show how many items are free, so you promise the same item to two people. If rental payments are recorded outside the till, the cash no longer matches at the end of the shift.

How to do it in Termino

  1. 1

    Add your rental items

Termino switches rentals on for your company on request. Then, in the system, on the “Branches” page, turn on “Rentals” in the branch's “Edit” form. Next, open “Rentals”, go to the “Items” tab and click “Add item”: enter the “Name” and “Photo”, and in the “Price and quantity per branch” table fill in the branch's “Daily price” and “Quantity”, that is, how many units you have. Rental items are separate from products and don't touch your sales stock.

  2. 2

Pick the items and the period

On the till's top bar, choose “Rent”. Each item card shows the daily price and how many units are free for that period; if you pick more, the till warns you. Under “Period”, choose 1, 2, 3, 5 or 7 days, or “Other” and an exact date and time. Every started 24 hours counts as one day: 32 hours is two days. Then press “Continue”.

  3. 3

    Enter the customer

In the “ID / passport number” field, type a Georgian personal ID number or a passport number and press “Find”. If this person has rented before, “Found” appears and their first name and surname fill in automatically; if not, “New customer” appears: enter the “First name” and “Surname”. A phone number is optional but useful for a reservation.

  4. 4

Pay now, pay on return or reserve

In the summary, choose “Pay now” or “Pay on return”. If the start is in the future, the button is “Book”: a reservation takes no payment. When the customer arrives, open “Active rentals” → “Reservations”, pick the reservation and press “Hand over”; this is where you choose whether they pay now or on return.

  5. 5

    Take the items back

In “Active rentals”, the “Active”, “Overdue” and “Today” tabs show who is returning and who is late. Pick a rental: the screen shows the “Actual days” and “Extra days”. In “Charge extra days” you decide how many days to charge; charging fewer is recorded under the cashier's name. Press “Return and pay”, or “Return” if nothing is left to pay.

  6. 6

    Check it in the system

In the system, under “Rentals” → “Rentals”, you see “Out now”, “Overdue”, “Upcoming reservations” and “Rental income” for the chosen period. You can filter rentals by status and search by name or by the last 4 characters of the personal ID number. In the “Shifts” report, rental cash and card payments show as separate columns and are also counted in the shift's expected cash.

Frequently asked questions

Do I get money back if a rental comes back early?

Not at this stage. Termino charges for the planned days or the actual days, whichever is more, so returning early doesn't lower the price.

Can a group return its items at different times?

In Termino a rental is returned whole, all at once. If members of a group will return at different times, make a separate rental for each of them.

What happens if a customer with a reservation doesn't show up?

If more than 2 hours have passed since the reservation's start, Termino marks it “No-show”. The cashier cancels the reservation manually, and since a reservation takes no payment, there is nothing to refund.

Do rentals work without internet?

Yes. The Termino till records rentals without internet too and sends the data once the connection is back. Looking up a customer by personal ID number needs internet: without it, the cashier types the first name and surname in by hand.
